Better Quality Software (BQ) Privacy Policy for Workflow Capture Browser Extension
Effective Date: June 11, 2026
1. Introduction
Better Quality Software ("BQ", "we", "our", or "us") respects your privacy and is committed to protecting information collected through our products and services, including the Better Quality Software platform, associated browser extensions, and related services (collectively, the "Services").
This Privacy Policy explains what information we collect, how we use it, and the choices available to users. By using our Services, you agree to the collection and use of information as described in this Privacy Policy.
2. Scope
This Privacy Policy applies to:
- Our website
- Our browser extension
- Our cloud-based platform
- Workflow recording and process validation services
- Page Object Scanner functionality
This Privacy Policy does not apply to third-party websites, applications, or services that may be accessed through our Services.
3. Information We Collect
A. Account Information (Paid Licensed Users Only)
For authenticated, licensed users utilizing our premium workflow capabilities, we may collect:
- Name
- Business email address
- Organization name
- User account identifiers
- Subscription and licensing information
This information is used exclusively to authenticate users, manage active enterprise subscriptions, and provide licensed services.
B. Workflow Recording Data (Paid Licensed Users Only)
The Workflow Recorder capability is restricted entirely to paid licensed users whose client organizations have separately executed product terms and conditions.
When an authenticated user explicitly starts a recording session and grants the required single-tab browser permissions, the extension collects operational interactions exclusively within enterprise business applications (such as ERP, EAM, and CRM applications). This data is used solely for software testing, process validation, and automation purposes.
Depending on the configuration selected by the user before the recording session begins, the extension may capture:
- User Interaction Data: Mouse clicks, mouse movements, keyboard input entered into business application fields, navigation actions, and screen interactions.
- Screen & Video Recording Data: If explicitly enabled by the user before starting, screenshots, screen recordings, and video recordings of the active business application session.
- Audio Recording Data: If explicitly enabled by the user before starting, audio captured during the session (e.g., the user speaking to explain a workflow step).
C. Page Object Scanner Data (Free Feature)
The extension provides a Page Object Scanner feature that is completely free for any user and does not require a paid license or an active recording session. When a user triggers this feature in page object mode, the Scanner collects:
- HTML element attributes
- CSS attributes
- Page object identifiers
- Technical metadata necessary for UI object identification
The Scanner is intended purely to assist with workflow design, automated test script creation, and process documentation. The Scanner does not capture user keystrokes, application inputs, or personal information.
D. Technical Information
We may automatically collect standard diagnostic data to maintain extension stability:
- Browser type and version
- Extension version
- Operating system and device info
- IP address and log files
- Performance metrics, errors, and diagnostic info
This information helps us improve system performance, security, and extension reliability.
4. How We Use Information
We use collected information strictly to:
- Provide workflow recording and process documentation services
- Generate workflow validations and support process automation
- Produce evidence of operational workflow execution for customer organizations
- Provide technical customer support and troubleshoot bugs
- Maintain security, system performance, and compliance obligations
5. When Recording Occurs
To prevent unauthorized tracking, recording is governed by strict user-controlled triggers. Recording only occurs when:
- A paid, licensed user signs into the extension;
- The user grants the explicit browser permission for the active tab; and
- The user manually and explicitly clicks to initiate a recording session.
Recording never occurs automatically or silently in the background. Users retain absolute control and can pause or stop the recording at any time.
6. Sensitive & Personal Information
Our Services are built strictly to capture operational business workflows within corporate systems (ERP, EAM, CRM).
BQ does not intentionally collect private user data, personal identification information, or sensitive personal data during recording sessions. The extension is restricted to capturing actions taken within designated business applications. Customer organizations and individual users are responsible for ensuring that data visible or entered during a recorded session complies with their internal data privacy governance policies.
7. Data Sharing & Limited Use
We do not sell personal information or workflow data to anyone. We share information only under the following strict conditions:
- With Your Customer Organization: All recorded workflow data, videos, and documentation belong entirely to the enterprise customer organization licensing the Services. Authorized corporate administrators have full access to these recordings.
- With Trusted Service Providers: We utilize secure, contractually-bound third-party providers for essential services like cloud hosting, data storage, user authentication, and system analytics. These providers are legally forbidden from using this data for any other purpose.
- Legal Requirements: We may disclose information only if required to do so by a binding law, regulation, court order, or official governmental request.
8. Data Retention
We retain information only for as long as necessary to fulfill our contractual obligations to your customer organization, support customer operations, and meet legal or regulatory requirements. Customer organizations may request the absolute deletion of their data at any time in accordance with their licensing agreements.
9. Security
We implement robust enterprise-grade technical and organizational safeguards to protect your data, including strict access controls, multi-factor authentication mechanisms, end-to-end encryption during data transmission, and highly secure cloud storage environments.
10. Cookies & Similar Technologies
Our website and Services use cookies and similar tracking technologies to improve functionality, analyze usage, and deliver a secure experience.

All requested permissions are used solely to provide the explicit workflow documentation and automation features outlined in this policy.
15. Chrome Web Store Compliance & Limited Use Policy
The BQ Extension complies fully with the Chrome Web Store Developer Data Policy, including its Limited Use requirements:
- We collect user activity data strictly for the single purpose of workflow recording, process documentation, process validation, workflow automation, and evidence collection.
- Collection occurs only after successful user authentication, explicit permission approval, and deliberate session initiation.
- The extension does not sell collected data to third parties.
- The extension does not use or transfer collected data for targeted advertising, affiliate marketing, or credit scoring purposes.
